Last updated: 18 October 2026

Discretion is at the heart of what we do. This policy explains what personal data Portable Afternoon (“PA Concierge”, “we”, “us”) collects when you visit our website, apply for membership or use our members’ app, why we collect it, who we share it with, and the rights you have under the EU General Data Protection Regulation (GDPR) and Portuguese data protection law.

Your name and email are needed to apply; without them we cannot consider your application. All other information is provided at your discretion, but some requests cannot be fulfilled without the relevant details. We do not make decisions about you based solely on automated processing, and we do not sell your personal data.

4.Dietary & allergy details

Information about allergies or medical dietary needs is health data, which the law protects with extra care. We only collect it when you choose to enter it with a request. By providing it, you give your explicit consent for us to store it with that request and share it with the relevant venue so they can cater for you safely.

You may withdraw this consent at any time by contacting us. We will then delete the details, though this will not affect sharing that has already taken place, and we may no longer be able to pass your needs on to venues.

5.Who we share it with

Venues and suppliers

To fulfil a request, we share the necessary details — typically your name, the booking details, the number of guests and, where you’ve provided them, dietary needs — with the restaurant, transport or experience provider concerned, or, for hotel stays, with our licensed travel partner and the hotel. They use this data as independent controllers under their own privacy policies.

Service providers who process data for us

We use carefully selected providers who may only process your data on our instructions and under data processing agreements:

Others

We may disclose data where required by law, to our professional advisers (such as accountants and lawyers) under confidentiality, or in connection with a sale or reorganisation of our business, in which case this policy will continue to apply.

6.International transfers

Some of our service providers are based in, or use servers in, the United States and other countries outside the European Economic Area. Where this happens, we rely on the EU–US Data Privacy Framework where the provider is certified, or on the European Commission’s Standard Contractual Clauses, together with any additional safeguards required. You can ask us for more information about these safeguards.

When we arrange services for you abroad (for example, a restaurant in Dubai or London), we necessarily share booking details with a supplier in that country so that the service you requested can be provided.

7.How long we keep it

8.Your rights

You have the right to:

To exercise any right, email connect@pa-concierge.com. We will reply within one month, and may need to confirm your identity first. This is free of charge unless a request is manifestly unfounded or excessive.

If you are unhappy with how we have handled your data, you may lodge a complaint with the Portuguese supervisory authority, the Comissão Nacional de Proteção de Dados (CNPD), or with the authority in the EU country where you live or work. We would appreciate the chance to resolve your concern first.

9.Cookies & device storage

We do not use advertising or analytics cookies, and we do not track you across other websites.

Our members’ and team apps store small pieces of information on your device (in the browser’s local storage) that are strictly necessary to keep you signed in, remember your in-app settings and deliver notifications you have enabled. Because they are essential to the service you request, they do not require consent. Clearing your browser data will remove them and sign you out.

10.Security

We protect your data with encrypted connections (HTTPS), encrypted password storage, and access controls that limit each member to their own information and restrict internal data to authorised members of our team. No system is completely secure, but we review our safeguards regularly and will notify you and the authorities of a personal data breach where the law requires.

11.Age

Our services are intended for adults aged 18 and over. We do not knowingly collect data from anyone under 18.

12.Changes & contact

We may update this policy from time to time. The date at the top shows the latest version, and we will tell members about significant changes through the app or by email.
